How the Fair arrives

We’ll ship books already placed in trays to your school, via UPS. Just set up the trays on tables, and your school’s Tabletop Fair is ready for readers! You’ll receive a Kick-off Kit before the Fair, followed by a Set-up Kit with the Fair delivery. These boxes are filled with extras to add flair to your Fair, including:

Book Fair flyers, hallway posters, and an outdoor banner

Table covers, table stands with signs, and character standees

o

A Share the Fair collection box and a “round up your purchase” sign

During the Fair

The  user-friendly Payment Portal allows you to process sales using credit cards, Book Fair eWallets, cash, checks, Scholastic Dollars, Share the Fair contributions, and Purchase Orders. You also have the ability to process a split tender—where you pay a portion of the total with one payment option and use a second option to complete the sale.

 

The Portal is available up to 5 days before your school’s Fair start date, continuing for 5 days after the Fair’s end date. To get started, select Fair Details and Settings from the Fair Account drop-down menu, then scroll down to launch the Portal.

After the Fair

The “Important Instructions” envelope you received in your Set-up Kit includes information on how to schedule your pickup and how to repack your trays.

 

Review and confirm your sales totals before closing your Fair in the Portal. If you used a register in addition to the Portal, be sure it’s connected to the Internet and tap CLOSE FAIR on the register’s Home screen. View the Closing Out the Register Guide for details. 

 

Once you’ve closed your Fair, you’ll receive an email alerting you that your Financial Form is ready. Your financials will be pre-populated with your Fair’s sales details, including sales from the Portal, as well as any sales made on the register.

 

Last, be sure to reserve your school’s next Fair to take advantage of the Multi-Fair reward! After the first Fair*, sales at each additional Fair will earn 10% extra Scholastic Dollars. Fairs must be held between 8/1/24 and 7/31/25.

After the Fair, be sure to claim your rewards and let us know which activities you completed.

Disclaimers: Your school can earn Scholastic Dollars as profit from your Fair’s sales or as rewards. Your school’s account balance combines both of these amounts. Profit from your Fair earned as Scholastic Dollars does not expire, but rewards expire six months after your Fair’s start date—unless you hold another Fair within seven months, which extends your rewards until seven days after the Fair end date. Be sure to report any purchases with redeemed rewards within those seven days. We can’t reissue expired rewards, but when you redeem Scholastic Dollars, amounts with an expiration date are automatically redeemed first. Please check your Scholastic Dollars balance to view expiration dates for your school’s fall and/or spring Fairs.


See your Scholastic Dollars balance in the Host Hub for specific expiration dates for each reward amount. Scholastic Dollars that you earn from a Fair will appear in your balance after your Fair’s payment is finalized.

 

*After the first Fair, sales at each additional Fair will earn 10% extra Scholastic Dollars. Fairs must be held between 8/1/24 and 7/31/25. Second and subsequent Fairs must meet a sales threshold of $1,500. Online shopping sales will be added to the Fair's revenue and qualify toward the $1,500 threshold. BOGO Fairs qualify for the Multi-Fair reward but do not qualify for in-person Fair profit. BOGO Fairs receive profit from online shopping, but do not receive BOGO pricing.
